Q: What benefits are there to the central Exchange offering?
A: There are a number of major advantages to the new mail server:
- Extended calendaring. Within the course of the next academic year, more than 4,000 UW faculty and staff will be using the system. This means that you will be able to share calendars and free/busy information with the extended university population.
- Outlook Web Access. The new mail server (Exchange 2007) offers additional features and a web access experience much like the Outlook 2007 Windows client. (More information to follow on this as the time gets closer.)
- More storage space. The email quota will be larger (from the current 700MB to 1GB; an additional 1GB will be available upon request).
- Improved Global Address List (GAL). Post-migration, the GAL will include all university faculty, staff and students.
Q: Will my login credentials (username and password) be the same on the new system?
A: Yes and No. The C&C Exchange server uses your NETID username and password…the same one you currently use to login to MyUW, Employee Self-Service, and other university services. So your username will be the same, but your password will be different…unless you’ve already made your BSCHOOL and NETID passwords the same.
Remember, your username is the part of your UW email address before the @ symbol, so if your email address is johnsmith@u.washington.edu, your username is johnsmith.
Q: How long will my email be unavailable during the transition?
A: On Friday, December 14th at 5:00 p.m. your School of Business Exchange mailbox will be turned off, and you will have what is known as a Dial Tone mailbox on the C&C exchange server. This mailbox will have no email or data in it. All of your existing data will be transferred over to this new email box over the course of the next 24-hour period. We anticipate that all mailboxes will be moved prior to the evening of Saturday, December 15th.
Q: Will I lose any information in this process?
A: All email, calendar, contacts, tasks and notes data will be preserved. Customized signatures, views, rules and delegation cannot be transferred to the new mailbox server directly. If you need assistance backing up your signature or rules, our helpdesk will be happy to assist you with this process. As always, you can contact them at bacshelp@u.washington.edu or 206-543-8003.
Q: How will I access my new mailbox via the web?
A: Beginning Friday at 5:00 p.m., the BSCHOOL Webmail site will redirect to the "new" Outlook Web Access site. (https://exchange.washington.edu/owa/ ). Note that while you’ll be able to send email right away, your existing email may not be imported for up to 24 hours.
Q: How will Outlook "know" how to connect to this new server?
A: The next time you logon to your computer after the migration, Outlook will be reconfigured to connect to the new server.
Q: Will my Windows Mobile phone or Pocket PC be able to continue automatically wireless syncing to my mailbox?
A: Yes. BACS helpdesk staff can help you reconfigure your device following the migration.
Q: Will my PalmOS device still be able to synchronize data with my calendar and contacts?
A: Yes. No changes will need to be made to on your device.
Q: Who do I go to for support on the new server?
A: You will continue to contact BACS support for assistance. The C&C helpdesk will be able to provide limited support outside of regular business hours.
In the coming weeks, a website will be setup to clarify some of the differences between the BSCHOOL and C&C environment as well as cover some of the new features of Exchange Outlook Web Access (OWA 2007). We will send you the site when it is available. Throughout the process, BACS support staff will be available to assist with any questions or concerns you may have.
As always we can be contacted via email: bacshelp@u.washington.edu / phone: 206-543-8003 / or in person: MKZ 236. If you have other questions that aren’t addressed here, please let me know, and I’ll be sure to send answers next week as we get closer to the cutover.
